Welcome, Business Owner
As the owner, you have full access to all features and settings in RoostSync. This guide covers everything you need to manage your hospitality business effectively.
Dashboard Overview
Your dashboard provides a real-time snapshot of your business:
- Today's Check-ins/Check-outs - Guests arriving and departing
- Occupancy Rate - Current and upcoming property utilization
- Revenue This Month - Bookings + POS sales combined
- Pending Actions - Items that need your attention
- Recent Activity - Latest bookings, orders, and changes
Team Management
Manage your staff and their access levels from Settings > Team Members.
User Roles

Inviting Team Members
- Go to Settings > Team Members
- Click "Invite Member"
- Enter their email address
- Select the appropriate role
- They'll receive an email invitation to join
Give each team member only the access they need. A cashier doesn't need Admin access - Staff role is sufficient for taking orders.
Billing & Subscription
Manage your subscription from Settings > Billing.
Current Plans
- Free - 2 properties, 50 bookings/mo, 100 orders/mo, 3 team members
- Starter ($19/mo) - 5 properties, 200 bookings/mo, 500 orders/mo, 10 team members
- Pro ($49/mo) - 15 properties, 2,000 bookings/mo, 5,000 orders/mo, 25 team members
- Enterprise ($149/mo) - Unlimited everything + dedicated support
All plans include all features. The difference is in volume limits.
Upgrading Your Plan
- Go to Settings > Billing
- Click "Upgrade Plan"
- Select your new plan
- Complete payment via Stripe
- New limits take effect immediately
Property Management
Add and configure your properties (rooms, cottages, campsites, etc.).
Adding a Property
- Go to Bookings > Properties
- Click "Add Property"
- Enter name, type, capacity, and base rate
- Add photos (optional)
- Set availability rules if needed
Property Settings
- Base Rate - Default nightly rate
- Capacity - Maximum guests
- Extra Person Fee - Additional charge per extra guest
- Minimum Stay - Minimum nights required
- Availability - Mark dates as blocked
Gmail Sync (OTA Integration)
Automatically import bookings from Airbnb, Agoda, and Booking.com.
Connecting Gmail
- Go to Settings > Integrations
- Click "Connect Gmail"
- Sign in with the Gmail account that receives booking confirmations
- Grant read access to emails
Once connected, the system scans for booking emails every 15 minutes and creates bookings automatically.

Business Settings
- Business Name - Displayed on receipts and reports
- Currency - PHP, USD, etc.
- Timezone - For accurate booking times
- VAT Registration - Enable for 12% VAT on orders
Module Settings
Enable/disable modules based on your needs:
- Bookings - Property reservations
- POS - Point of sale system
- Inventory - Stock tracking
- Finance - Accounting module
- Kitchen Display - KDS for restaurants
Reports & Analytics
Access comprehensive reports from the Reports section:
- Revenue Report - Income by source (bookings, POS, etc.)
- Occupancy Report - Property utilization over time
- Sales Report - POS sales breakdown by category
- Guest Report - Booking patterns and repeat guests
- Inventory Report - Stock levels and movements
Use the AI Assistant to ask questions like "What was my revenue last month?" or "Which property is most profitable?" It analyzes your data and provides instant answers.
Security Best Practices
- Use strong, unique passwords
- Enable 2FA on your Google account (used for sign-in)
- Regularly review team member access
- Remove access immediately when staff leave
- Don't share owner credentials with anyone
Only owners can access billing, delete the team, or transfer ownership. Keep these credentials secure.
