AI Assistant Guide

Overview

The RoostSync AI Assistant helps you work faster by answering questions, generating reports, and automating tasks using natural language. Just ask what you need in plain English or Filipino.

Accessing the AI Assistant

Open the AI Assistant by:

Clicking the chat icon in the bottom-right corner
Pressing Ctrl + K (Windows) or Cmd + K (Mac)
Going to Tools > AI Assistant

What You Can Ask

Getting Quick Information

You: "How many rooms are available this weekend?"

AI: "This weekend (March 15-17), you have 4 rooms available: Room 102, 103, 201, and 205. Would you like me to show the calendar or create a booking?"

Creating a Booking

You: "Book Maria Santos in a deluxe room for April 1-3"

AI: "I'll create a booking for Maria Santos in a Deluxe room (Room 101 is available) from April 1-3 (2 nights). The total is P6,000. Should I proceed?"

You: "Yes"

AI: "Done! Booking #1234 created for Maria Santos. Would you like to send a confirmation message?"

Running Reports

You: "Give me a summary of last week's sales"

Pro Tip

Be specific with dates and names. Instead of "recent bookings," say "bookings this week" or "bookings for Juan dela Cruz."

Filipino Language Support

The AI understands Filipino and Taglish:

"Ilan ang available na rooms bukas?"
"Magkano ang income natin this month?"
"Sino ang mga guests na mag check-out today?"
"Gawa ng booking para kay Maria, March 10-12"

Actions the AI Can Perform

Confirmation for Important Actions

The AI always asks for confirmation before:

Creating or modifying bookings
Changing inventory levels
Sending messages to guests
Processing payments or refunds

You can say "yes," "confirm," or "proceed" to approve, or "no" or "cancel" to stop.

Important

Always verify AI-generated information, especially for financial data or guest details. The AI is a helpful assistant but you are responsible for accuracy.

Tips for Better Results

Be specific - "revenue this week" not "how are we doing"
Use names - Include guest names, room numbers when relevant
Specify dates - "March 15" instead of "next week"
One thing at a time - Break complex requests into steps
Follow up - Ask clarifying questions if the answer isn't what you need

Conversation History

The AI remembers your conversation context:

Previous questions in the same session
Recent bookings or actions you discussed
Your role and permissions

Start a new conversation by clicking "New Chat" to clear context.

Limitations

The AI Assistant cannot:

Access external websites or systems
Make changes outside RoostSync
Override security permissions
Process actual payments (only record them)
Guarantee 100% accuracy on complex calculations

Troubleshooting

Issue	Solution
AI doesn't understand	Rephrase your question more simply. Try English if using Filipino.
Wrong data returned	Verify the date range or filters. Ask AI to clarify what it searched.
Action not completing	Check if you have permission. Some actions require Manager/Admin role.
Slow response	Complex queries take longer. Be patient or simplify the request.
